Setup guide
From sign-up to the first answer in about 15 minutes
Nine short steps, in the order a new workspace goes through them. Vera only reads your Odoo; nothing in this guide changes your Odoo data.
- About 15 minutes
- 9 steps
- Read-only on Odoo
Not signed in yet? Start with step 1. Buttons that open a page inside Vera take you through sign-in first, then straight to that page.
Contents
Step 1
EveryoneCreate your workspace
One form, one minute. Whoever registers becomes the first workspace admin.
- Open Register and fill in Company name, Workspace, Your name, Work email and a Password (at least 8 characters).
- The Workspace is the short name your team types at login (letters, numbers, hyphens) — choose something easy to say out loud.
- Click Continue to billing. The workspace exists now, and you land on the Billing page.
Tip · Sign-in always asks for three things: workspace, email, password. Share the workspace name with your team along with their login.
Step 2
Workspace adminChoose a plan
Nothing runs until the workspace is on a plan — a trial or a paid term.
- On Billing, either Start a 15-day trial (Chat for the whole team plus one report, once per company) or pick Vera with a term of 3, 6 or 12 months.
- Click Request this plan. The plan is activated once the payment is confirmed.
- Each plan is a pool of points for the whole term. Every question and report spends what it costs; what is unused expires with the term.
- Vera includes chat and every recipe report. The trial includes one report.
Tip · Upgrade while a trial or plan is still running and whatever remains carries into the new plan.
Step 3
Workspace adminConnect your Odoo database
In Settings, under “Connect your Odoo database”. Vera reads your data through one API key. Four details come from your Odoo; here is where each one is in Odoo 19.
- Odoo URL — the address you open Odoo at, including https:// and nothing after the domain (for example https://company.odoo.com).
- Database name — in Odoo 19: Settings → scroll to the bottom → Activate the developer mode. The database name then appears under your name at the top right, next to a small database icon. On Odoo Online it is also the first part of your address (company in company.odoo.com).
- Odoo login — the e-mail or login of the user the key belongs to. Required for Odoo 16, 17 and 18; Odoo 19 does not use it.
- API key — in Odoo 19: click your avatar (top right) → My Preferences → Security tab → Add API Key → confirm your Odoo password. Description: “Vera”. Duration: choose “Persistent Key” (or at least 1 Year) — the default is 1 Day, after which Vera would stop reading. Generate the key, copy it once and paste it here. In Odoo 16–18 the button is called New API Key and has no duration.
- Click Save Odoo connection. The key is encrypted at rest and never shown again.
Tip · Simplest: an Odoo administrator makes the key on their own account; Vera only reads, never writes. Preferred: a dedicated user for Vera (Settings → Users & Companies → Users → New) with only the apps you want analysed — Sales, Accounting, Inventory, Purchase. In Odoo 19 a non-administrator can only make short-lived keys unless an administrator first raises “API Keys maximum duration days” on one of that user's groups (developer mode → Settings → Technical → Groups). On Odoo Online an extra internal user is a paid seat. Our team sets this up for you on request.
Step 4
Workspace adminSync the schema
Vera learns which models and fields your company actually has — standard and custom.
- Open Schema and click Sync from Odoo. On a large database it can take a little while.
- Only structure is read: model names, fields, labels and selections. No figures are stored.
- When it finishes, the data map shows what the sync understood: business areas, report views, and where sales are read from.
- Run it again after you install a module or add custom fields in Odoo.
Tip · If the sync fails, re-check the URL, database name and key in Settings; a wrong database name is the most common cause.
Step 5
Workspace adminIntroduce your business
In Settings, under “Tell Vera about your business”. Vera reads this before every answer and every report.
- About the business — who you are: the industry, what you sell, your seasons, what is normal here that an outsider might misread.
- How to read the data — plain sentences on where sales and profit live, what a branch is, what to ignore. On save, Vera finds where each of these is in your Odoo and asks only when it truly cannot.
- Words that mean something here — your in-house words and what they mean, so Vera reads your data the way you do.
- Not sure where to start? Ask Vera to draft it writes a first draft from your data; review it, fix what is wrong, then Save profile.
Tip · Two or three honest sentences beat a long essay. Say what is unusual about your business, not what is standard.
Step 6
Workspace adminDecide on Privacy Mode
In Settings, under “Privacy Mode”. Default rules are seeded from your Odoo version at sync time.
- When Pseudonymize identities before the AI model is on, names, e-mails and phone numbers of customers, employees and organisations are replaced by anonymous tokens before anything reaches the AI model — and put back in the answer you see.
- Amounts, dates, products and quantities still flow, so the analysis is unchanged; the model simply never learns who the numbers belong to.
- The rules list says which field of which model is tokenised or not allowed; add your own for custom fields.
- What the AI receives shows one real row beside what the model would receive — the quickest way to see the effect.
Tip · Switch it on if your data includes personal names or you report to a data-protection officer. It costs nothing in answer quality.
Step 7
Workspace adminEnable skill packs
Skill packs hold the ready-made analysis recipes: a health review, customer portfolio, forecast, branch and category reports.
- In Settings, under Analysis skill packs, click Enable on the packs you want.
- The recipes then appear on the Recipes page. Pick one, set its inputs, click Run — the report is written in 1–3 minutes and can be downloaded as HTML or printed to PDF.
- Recipe reports come with the Vera plan; the trial includes one report.
Tip · Figures in a recipe report open to the rows behind them, so you can verify a number against Odoo.
Step 8
EveryoneAsk the first question
On the Chat page. Ask in Arabic or English, in your own words.
- Try: “Top customers by sales total this month”, “Which customers bought less this quarter than last?”, “Invoice totals by month for the last 12 months”.
- Each answer comes with the rows behind the number — open them to check the figure against Odoo — and an Excel export that carries the Odoo IDs.
- Ask a follow-up in the same thread; Vera keeps the context. Start a New chat when you change subject.
- Save an answer as a report, or share the chat with the workspace or specific people.
Tip · Name the metric, the entity and the period — “gross margin by product category, last quarter” — and the first answer is usually the right one.
Step 9
EveryoneWhere to get help
Vera is built and supported by Falak Solutions, an Odoo partner.
- Stuck on a step, or the connection will not save? Message us on WhatsApp, or email info@rogavera.com for any question, support request or inquiry.
- Have your workspace name ready and, for connection problems, your Odoo version; never send your API key.
